Agro Notes

Deleting your Agro Notes account

Version 1.5 · effective from October 28, 2026

In short

Delete your account yourself: Settings → Delete account. This cannot be undone.

No longer have access to the app? Email [email protected] from the address linked to the account and we will delete it within one month.

Export your spray records before you delete the account. You may be required to keep them, and we cannot recover them once the account is gone.

Notes you added in someone else’s farm stay with its owner; only their link to your account is removed.

This summary is for information only. The full text below is binding.

1. Before you delete your account, export your records

Many countries require farms to keep spray records for several years (in the European Union, at least 3 years). That obligation is yours and does not end with your account. Before deleting it, open the Notes tab, use the export function and save the PDF or CSV files somewhere other than your phone. Account deletion cannot be undone, and we do not keep a copy that would allow it to be restored.

2. Deleting your account in the app

  1. Open the Agro Notes app and sign in.
  2. Go to the Settings tab.
  3. Scroll down to the Delete account section.
  4. Tap Delete account and confirm by typing the requested phrase.

Deletion requires an internet connection. When it is complete you are signed out automatically and the data stored on the device is cleared.

3. Deleting your account without access to the app

If you cannot sign in or no longer have a device with the app, send a message to [email protected] from the email address linked to the account with the subject “Account deletion”.

If the message comes from a different address, we will ask for additional confirmation of your identity, only to make sure nobody deletes someone else’s account. We handle the request without undue delay and at the latest within one month, and confirm when it is done.

4. What is deleted

  • The account, including your email address, password and user name.
  • Your profile as seen by collaborators.
  • Push notification tokens for all your devices.
  • Farms you own, with all their fields, boundaries, notes, photos, spray records, invitations and member lists. This includes content added by your collaborators in those farms.
  • Your memberships in other people’s farms and invitations you sent.
  • Your assignments to tasks and treatments that have not been completed yet, so nobody is left with a task assigned to an account that no longer exists.
  • The link between your account and content you added in other people’s farms; from then on it is shown there as “Deleted account”.
  • The local copy of data on the device, downloaded map tiles and the saved session.

Note for farm owners

Deleting the owner’s account deletes the whole farm, including the work of its collaborators. If the farm should keep running, make sure everyone has exported the data they need first.

Crash diagnostic reports and session recordings are not part of the account and do not contain your email address. They expire on their own, no longer than 90 days. If an error message contained a fragment of data you entered, it disappears with that report. Text, photos and icons in the recordings are masked.

5. What stays in someone else’s farm, and why

If you worked in a farm owned by someone else, your notes and spray record entries are not deleted together with your account. We remove their link to your account, but the content itself stays with the farm owner.

The reason is simple: the controller of that data is the farm Owner or the entity on whose behalf they use the App, and they may be legally required to keep spray records for several years. If deleting your account removed the entries you made, their records would become incomplete without their knowledge.

  • Notes and treatments you added in someone else’s farm stay, signed as “Deleted account”. The App can no longer show who wrote them.
  • Photos attached to those notes stay with the note they belong to.
  • The fact that a treatment was carried out stays as part of the record, also without a link to your account.
  • Mentions of you typed into other people’s notes are part of text written by someone else. Ask the farm owner to remove them.
  • Correspondence and data required by law: complaints and data needed to defend against claims are kept for the period required by law.

If you still want a particular piece of content removed completely, ask the farm owner; only they can delete it or decide whether they still need it.

An encrypted backup of the database and note photos is kept for 30 days and then deleted. Deleting an account does not immediately erase data that has already been copied into this backup.

6. You may need less than account deletion

  • Want to leave one farm? In Settings choose “Leave farm”. Your account and your other farms stay untouched.
  • Don’t want notifications? Turn them off in your phone’s system settings.
  • Don’t want the data on your phone? Sign out. The local copy is removed from the device and your account stays active.

7. Legal basis and further information

Deleting your account exercises the right to erasure under Article 17 GDPR and terminates the contract under the App terms of service. The full description of processing and retention periods is in the App privacy policy.
